General PCSE Online FAQs

Primary Care Support England has launched an PCSE Online for Primary Care Contractors to manage their services.

PCSE Online has replaced the current contacts and channels you have previously used for ordering your NHS supplies. You can use the portal to order and track NHS supplies, such as secure and non-secure stationery, prescription pads, needles and syringes.

For GP’s it will also provide you with a reliable way of tracking your patient’s records, whether they are in storage or in movement across the country.

Over time, it will become your main route for accessing additional primary care support services, including payments, pensions and performer list applications.

It may be a good idea to save PCSE Online as a favourite on your web browser.

IE7

Users of IE7 (Internet Explorer 7) or below will not be able to access PCSE Online as it is no longer a secure browser. You should speak with your CCG or IT provider to update your browser.

IE8

Users of IE8 are also strongly advised to upgrade their browsers. Whilst IE8 users will be able to access PCSE Online, they will likely have a substandard experience.

If you need support with accessing or using PCSE Online, please contact us.

If you work for multiple practices, you will need to ask the Main Contact for each of the practices to add you as a user for that practice. You will then be able to access the portal for multiple practices.

If you wish to be added as the Main Contact for a practice that has not yet registered for PCSE Online, you will need to contact us and ask to be added to the practice.

Please contact NHS England through your CCG who can approve any changes. Once PCSE have been notified of the changes, we will make the necessary updates and arrange any records and supplies movements prior to your closure / relocation.

If the Main Contact is linked to more than one Practice, then they must select the practice they want to register the additional user for.

If the main contact is only linked to one Practice, this should be the default address.

If the address does not appear, please contact our Customer Support Centre, who will be able to investigate the issue for you.

The person who initially registered for PCSE Online will be your Main Contact and will be set up as a Super User. They will be responsible for setting up additional users in your practice and branches. The Main Contact will have access to all of the Primary Care Support Services online and therefore we ask that you choose someone responsible and trustworthy. If you are unsure who this person is, and would like to set up a new main contact, please:

• Your practice name
• Your practice ODS code (GP main practice codes are a letter followed by five numbers)

When PCSE has this information, we will call the practice to verify the information provided. The new main contact will then receive an email with details of how to access PCSE Online.

The person who initially registered for PCSE Online will be your main contact and will be set up on the portal as the Super User. If you have not yet registered, please refer to the question I am not registered on PCSE Online. How do I register?

When PCSE has this information, we will call the practice to verify the information provided. The new main contact will then receive an email with details of how to access PCSE Online.

To set your practice up with access to PCSE Online, firstly we will need your new practice ODS code.

What is an ODS code and how do I get it?

ODS codes are used by NHS Digital to identify organisations across health and social care. They are issued by the Organisation Data Service which is part of NHS Digital. PCSE requires ODS codes in order to set your practice(s) up on PCSE Online.

To obtain your practice ODS code, please contact the ODS Team at NHS Digital on 0300 303 4034 or via email on Exeter.helpdesk@nhs.net.

Please request the pdf report file from the ODS TEAM which will highlight the address and your new code. Please note: these pdf reports are only issued when new ODS codes are created. You will not receive one for codes that already exist.

What happens next?

Once you have your new practice ODS code, please email us at: pcse.datamanager@nhs.net and state that you would like access to PCSE Online for a new practice/pharmacy.

Please include in your email:

  • New practice name
  • Full address of new practice
  • The organisation/ODS code for your new practice (Dentists code starts with ‘V’, ophthalmic codes start with ‘TP’, pharmacies code starts with ‘F’, GP main practice codes are a letter followed by five numbers)
  • Your organisation type (Dentist/Opticians/Pharmacy/GP)
  • New practice telephone number
  • The name of the main contact you would like to set up for your new practice including their title
  • The email address for the main contact you would like to set up for your new practice

If you are currently a main contact at a practice and would like to be the main contact for the new practice, please also include the following details: 

Details of the practice you are currently the main contact at:

  • Practice name
  • Practice address
  • Practice telephone number
  • Practice ODS code
  • Your name (please state you are existing main contact for this practice)
  • Your email address

Once PCSE has received this information, we will call the new practice and ask a contact there to verify the information provided.

If the nominated main contact for the new practice doesn’t already have access to PCSE Online, they will then receive an email with details of how to access PCSE Online.

If the main contact already has access to PCSE Online for another practice, once processed by PCSE, the new practice will appear in the dropdown box underneath ‘Select Organisation and Address’.

Firstly, PCSE will need your new practice ODS code. ODS codes are used by NHS Digital to identify organisations across health and social care. They are issued by the Organisation Data Service which is part of NHS Digital. PCSE requires ODS codes in order to set your practice(s) up and issue log-in details for PCSE Online.

To obtain your practice ODS code, please contact the ODS Team at NHS Digital on 0300 303 4034 or via email on Exeter.helpdesk@nhs.net.

What happens next?

When you have your new practice ODS code, please email us at: pcse.datamanager@nhs.net and state that you would like to extend a current main contact to a new practice/pharmacy.

Please include in your email:

Details of your existing practice:

  • The name of your existing practice
  • The organisation/ODS code for your existing practice (Dentists code starts with ‘V’, ophthalmic codes start with ‘TP’, pharmacies code starts with ‘F’, GP main practice codes are a letter followed by five numbers)
  • The name of the main contact we hold for your existing practice
  • The email address for the main contact we hold for your existing practice
  • The existing practice/organisation address
  • The existing practice telephone number

 Details of your new practice:

  • The practice ODS code for your new practice
  • The name of your new practice
  • The address of your new practice

Once PCSE has received this information, we will call the new practice and ask a contact there to verify the information provided.

When PCSE has processed this change, the new practice will be added to your PCSE Online account and will appear in the dropdown box underneath ‘Select Organisation and Address’.

To order supplies for a particular site: 

  • Log in to PCSE Online
  • Select the site name from the drop down box underneath ‘Select Organisation and Address’
  • When the site appears, select it
  • Click on update
  • Click on ‘Supplies’ to make your order and items will be delivered to that site.

To set your new GP branch up with access to PCSE Online, firstly we will need your new branch ODS code.

ODS codes are used by NHS Digital to identify organisations across health and social care. They are issued by the Organisation Data Service which is part of NHS Digital. PCSE requires ODS codes in order to set your branch(es) up on PCSE Online.

To obtain your branch ODS code, please contact the ODS Team at NHS Digital on 0300 303 4034 or via email on Exeter.helpdesk@nhs.net.

  • The name of the main contact PCSE holds for your main practice
  • The email address for the main contact we hold for your main practice
  • The main practice/organisation address
  • The main practice telephone number

Details of your branch practice

  • The name of the main contact you would like to set up for your branch including title
  • The email address for the main contact you would like to set up for your branch
  • The ODS code for your branch (Branch practice ODS codes begin with the main site code, followed by 001, 002, 003 )
  • The name of your new branch practice
  • The new branch practice/organisation address
  • The new branch practice telephone number

When PCSE has received this information, we will call and ask a contact at the practice to verify the information provided. The nominated main contact will then receive an email with details of how to access PCSE Online. If you are the main practice contact and wish to be the main contact for a branch practice also, when PCSE has processed this change, the branch will be added to your existing PCSE Online account and will appear in the drop down list underneath ‘Select Organisation and Address’.

When GP practice’s merge, one site will become the main site. The other site(s) will operate as branches and will need new branch ODS codes. Branch practice ODS codes begin with the main site code, followed by 001, 002, 003 depending on the number of branches there are.
