What is an interchange?

An interchange is a data package sent between your clinical system and Spine containing transaction updates such as registrations, amendments, and deductions.

Why do interchange errors happen?

Errors can occur due to missing data, out‑of‑sequence transactions, system disruptions, or incorrect information sent from the clinical system.

What should we do if transactions are missing?

Check your clinical system for pending updates and report the issue to PCSE. Include screenshots and error messages where possible.

What happens if we ignore an interchange related request?

Delays may occur in processing registrations, deductions, or amendments. In some cases, patient records may misalign, creating clinical and financial risks.

Do we need to contact our system supplier as well as PCSE?

If the issue appears to be technical (e.g., interchanges not downloading), contact your supplier in addition to notifying PCSE.

How do we know if an error is resolved?

PCSE will communicate when action is complete or if further information is required. Once resolved, transactions should begin to flow normally.

Why are PCSE asking us to confirm or correct patient data?

PCSE may contact your practice when there is a problem with the data received in an interchange.
You might be asked to:

  • Confirm patient details
  • Re‑submit a registration, amendment, or removal
  • Correct demographic information
  • Check whether a registration has been accepted or rejected locally

This helps ensure the correct patient data is held across all systems.

Why am I receiving notifications about missing receipt reports?

If your clinical system has not sent receipt acknowledgements back to Spine, you may be asked to:

  • Check with your system supplier
  • Confirm whether transactions are pending locally
  • Verify that registrations or amendments are being processed

Missing receipts can indicate that interchanges being sent by Spine are not being processed on your clinical system. 

When should my practice report a clinical system issue to PCSE?

Please notify PCSE as soon as possible if your practice becomes aware that:

  • Interchanges are not being received
  • Transactions (Registrations/Deductions) are outstanding for longer than expected

Early reporting helps prevent delays and ensures accurate registration data.
