About Clinical System Migration

This process occurs when a GP practice changes from one clinical system to another, for example, from EMIS Web to SystmOne.

How the migration process is managed depends on which clinical system supplier  is carrying out the migration. In some cases, your system supplier manages the entire process. In others, PCSE may need to pause and restart system links to support the migration safely.

This page explains the difference and what your practice needs to do.

Notifying PCSE of a Clinical System Migration

Further details on the information required by PCSE on this page should be reviewed before completing the online form.  Please inform PCSE at least 2 weeks before any actions are required from PCSE (E.g. Pausing of the GP Links).

Information required for completing the form

PCSE may require the following information before the migration takes place:

  • Practice name
  • Practice ODS code
  • Date the system links should be switched off, if applicable
  • Date the links should be switched back on, if applicable
  • Your new MESH mailbox address, if applicable

It’s important that all details are accurate. If any information is missing or unclear, PCSE may contact you before the migration can proceed.

Required actions to support migration

When your practice changes clinical systems:

  • Before migration - Patients with FP69 flags need to be processed prior to the migration taking place. FP69 flags will not migrate as part of the system migration process but will remain on the patients PDS record. This may result in patients being deducted at the end of the 3-month notice period.
  • Before migration – Submit any pending registrations/amendments or removals prior to the migration.
  • After GP Links have been paused – Do not submit any GP links transactions. Any transactions submitted by your clinical system during this period will be reported as errors, and you will need to re-submit post migration.

Next steps

Once your migration has been logged:

  1. You will receive an acknowledgment email from PCSE confirming receipt of your migration request.
  2. If required, the GP Links will be paused on the agreed date.
  3. Your practice will be informed when the GP Links have been paused.
  4. PCSE will monitor for the submission of any interchanges during the period the GP Links are paused.
  5. GP Links are un-paused once the migration is complete.
  6. A confirmation email is sent to your practice after the migration is complete, and errors identified during the migration will be reported for correction.

Changes to migration dates

If your migration is delayed, rescheduled, or cancelled, please let PCSE know as soon as possible by emailing pcse.linkconfirmations@nhs.net. If you have a case reference (beginning with CAS), please ensure this is present in any correspondence. 

Informing PCSE of any changes to your system migration ensures GP Links are not paused unnecessarily and helps avoid disruption.

PCSE will update your case and confirm the revised arrangements with your practice.
